How to connect Sheetify CRM, Bookkeeping and Projects together?

How to connect Google Sheets templates together? (Sheetify CRM, Bookkeeping and Projects)

With Sheetify Flow, it’s finally possible to link your core business templates in just a few clicks, with no coding or manual syncing!

This is the update all Sheetify users have been waiting for!

Note: To use Sheetify Flow, you'll need access to at least two Sheetify business toolkits.

To connect your templates and enable automated data flows, you must first install Sheetify Flow. To do that:

  1. Open any of your Sheetify Google Sheets templates.
  2. Click the small arrow in the bottom-right to open the Google Apps right-hand sidebar.
  3. Click the ‘+’ icon (Get Add-ons).
  4. Search ‘Sheetify Flow’ in the Google Workspace Marketplace.
  5. Click ‘Install’.
  6. Select the correct Google account that’s associated with your Sheetify templates.
  7. Review the permissions, and click ‘Allow’.
  8. Once installed, refresh your sheet.
  9. Click ‘Extensions > Sheetify Flow > Show Sidebar’ to open the Sheetify Flow sidebar.
  10. Once you’ve installed Sheetify Flow, you must connect the unique URL of each Sheetify toolkit to the Sheetify Flow add-on. To do that:
  11. Open each Sheetify toolkit one by one and copy the URL (at the top of the page).
  12. Go back to the Sheetify Flow sidebar (in any sheet) and go to ‘Settings’.
  13. Paste each template URL into its matching field (e.g., under CRM URL, paste the CRM URL).
  14. Click ‘Save URLs’ once you’ve pasted all URLs (you only need to link the toolkits you actively use).

When you’ve linked all URLs to Sheetify Flow, you’re ready to activate Sheetify Flow’s five built-in automations! To do this: 

  1. For Sheetify CRM: Open your CRM sheet, go to ‘Extensions > Sheetify Flow > Show Sidebar > Settings’.
  2. Click ‘Activate CRM’.
  3. For Sheetify Projects: Repeat the same steps but choose ‘Activate Projects’.

Note: Currently, there are no outbound automations for Sheetify Bookkeeping, so you don’t need to worry about activating this option.

Return to the ‘Automations’ panel in the Sheetify Flow sidebar (within Sheetify CRM or Sheetify Bookkeeping).

You’ll then see a list of available automations.

  • Under ‘Automations’, simply click ‘Enable Automation’ for each automation you want to activate.

And that’s it! That’s how you can connect Sheetify CRM, Sheetify Bookkeeping, and Sheetify Projects together using Sheetify Flow!

Sheetify Flow will now automatically handle your data transfers between templates.

Now, when you update a specific pre-configured status, the corresponding built-in automation triggers automatically, moving that data from one spreadsheet to another.

What are Sheetify Flow automations?

These automations are built-in and fully standardized across all Sheetify toolkits, ensuring that everything remains clean, consistent, and connected at all times.

So, what are these automations, and how do they work? Let’s take a look:

  1. Completed Transactions → Bookkeeping: Once you mark a transaction as ‘Completed’ in Sheetify CRM, it will automatically flow to the ‘Income’ sheet in Sheetify Bookkeeping.
  2. Received Purchases → Bookkeeping: Once you mark a purchase as ‘Received’ in Sheetify CRM, it will automatically flow directly into the ‘Expenses’ sheet in Sheetify Bookkeeping.
  3. Completed Transactions → Projects: Once you mark a transaction in Sheetify CRM as ‘Completed’, it will automatically flow into Sheetify Projects as a new project.
  4. Completed Projects → Bookkeeping: Once you mark a project as ‘Completed,’ any costs associated with that project will automatically flow to the ‘Expenses’ sheet in Sheetify Bookkeeping.
  5. Completed Tasks → Bookkeeping: Once you mark a task as ‘Completed,’ any costs associated with that task will automatically flow to the ‘Expenses’ sheet in Sheetify Bookkeeping.

Essentially, once you update certain statuses within your toolkits (‘Completed’ or ‘Received’), Sheetify Flow automatically syncs that data between the relevant templates.

All without any manual input from your side!

Note: If you enable both the ‘Completed Project’ and ‘Completed Task’ automation, you’ll end up with duplicate entries inside your Bookkeeping ‘Expenses’ sheet.

So, to keep your expense records accurate, I recommend turning on just one of these automations.

And get this: team members can trigger automations from one sheet to another, even if they don’t have access to the other sheet! How impressive is that??
