How to send invoices with Google Sheets?

Are you fed up with paying hefty monthly fees for bloated accounting software just to send simple invoices to your clients?

What if the most powerful invoicing tool you need is already open in your browser?

Thanks to its flexibility and anytime, anywhere convenience, Google Sheets is the perfect base for creating and sending polished, professional invoices to your customers.

There are three key ways you can send invoices with Google Sheets:

  1. Manually create an invoice inside Google Sheets (or ask Gemini AI to make one for you) and then attach the PDF to a new Gmail email to send to your client.
  2. Automatically create and send an invoice using a Google Sheets template and then attach the PDF to a Gmail email.
  3. Use Sheetify Bookkeeping’s built-in invoice generator to effortlessly send invoices with minimal effort.

For an in-depth guide on how to create and send invoices using the methods above, check out this article.

What is Sheetify Bookkeeping invoice generator?

Sheetify Bookkeeping is far more than a basic invoice template tucked inside a spreadsheet.

It’s a fully integrated, Google Sheets–powered bookkeeping system built to give small teams complete financial clarity, without the complexity of traditional accounting software.

And at the core of the system is its smart automated invoice and quote generator.

Rather than bouncing between apps or manually copying client details into documents, Sheetify Bookkeeping connects Google Sheets, Forms, and Docs into one workflow.

The result? Professional, branded invoices and quotes created automatically….without repetitive admin work. Here’s how it works:

  • Personalize the built-in Google Docs master invoice template with your logo, business information, payment terms, and preferred styling.
  • Enter job or client details using a simple Google Form.
  • As soon as the form is submitted, Sheetify Bookkeeping instantly transforms that information into a fully formatted invoice or quote generated in seconds.
  • Each document is automatically saved into a dedicated Google Drive folder, keeping your records organized and easy to access.

And it gets even better!

With the latest update, you can send invoices directly to clients from the Google Sheets template and send paid invoices to your Sheetify Bookkeeping ‘Income’ sheet!

There’s no exporting, no reattaching files, and no unnecessary steps required.

How to send invoices in Sheetify Bookkeeping?

Once you’ve created and saved your Sheetify Bookkeeping invoices, there are multiple ways to send invoices effortlessly to your clients using Sheetify Bookkeeping.

Here’s how you can send invoices inside your Sheetify Bookkeeping template:

Method 1: Send invoices automatically from Sheetify Bookkeeping

If you want speed and simplicity, the good news is you can now send invoices to your customers directly from your Google Sheets dashboard! To do this:

Start by heading to the ‘Setup’ sheet inside Sheetify Bookkeeping.

Under ‘Invoice and Quote Setup’, enter your sender name, email address, subject line, and the message you’d like clients to see in the body of the email.

Open your ‘Invoices’ sheet.

Click anywhere on the row containing the invoice you want to send (you can also select multiple rows to send several invoices in bulk).

From the top menu, click ‘Sheetify >  Invoices > Send Invoice to Email’.

A confirmation pop-up will then appear showing the client’s email address.

When confirmed, the system instantly sends the invoice to your customer as a PDF document attachment via Gmail.

The corresponding row will then turn orange, indicating that the invoice has been successfully delivered.

And that’s it! Not only is this method fast and streamlined, but it involves absolutely no tedious exporting or complex Apps Script knowledge!

Method 2: Download the PDF or share a direct link

Prefer a manual option for sending your invoices in Google Sheets? Sheetify Bookkeeping also has you covered!

The template automatically creates a Google Docs version of every invoice you create and then saves it inside a designated Google Drive folder.

This means you can either download the document as a PDF or share the link with a customer online.

Here’s how you can manually send an invoice through the two options mentioned:

Option A: Download as a PDF: Open the invoice in Google Drive, click ‘File > Download > PDF’ and save it to your device. You can then attach it to an email and send it manually.

Option B: Share a view-only link: Open the invoice in Google Docs, click ‘Share’, update the access settings to ‘Anyone with the link’, and copy the URL. You can then send this link directly to your client so they can view the invoice online.

As you can see, whether you choose the automated or manual method, Sheetify Bookkeeping offers flexible ways to send your invoices to clients quickly and efficiently!

How to send paid invoices to Sheetify Bookkeeping income tracker?

Are you struggling to keep on top of your income records? Sheetify Bookkeeping has you covered!

Thanks to the new built-in invoicing feature, once an invoice has been paid, you can now push that data directly into your ‘Income’ sheet in just a few clicks.

There’s no manual retyping, and no duplicate entries. Just simple, accurate invoice tracking.

Here’s exactly how to transfer both single and multiple paid invoices from your ‘Invoices’ sheet to your ‘Income’ sheet.

  1. Go to the ‘Invoices’ sheet (this sheet stores every invoice generated by Sheetify Bookkeeping).
  2. Locate the paid invoice and select anywhere on the row (if you’ve received multiple payments, simply highlight all relevant rows to process them in bulk).
  3. Go to the top menu, click ‘Sheetify > Invoices > Copy Invoice Data to Income’.
  4. You’ll then get redirected to the ‘Income’ sheet, where the new transaction will appear with key details, including the payment date, invoice ID, client name, item description or notes, total amount, and tax component.
  5. Simply choose the appropriate income category from the dropdown menu (consulting, design services, or product sales) to finalize the reconciliation.
  6. Once completed, the original invoice row will turn green in your 'Invoices’ sheet, clearly marking it as paid and processed.
