How to share only one tab in a spreadsheet?

While there may not initially seem to be a simple solution for sharing just one sheet within the ‘Share’ button in Google Sheets, the good news is that there are workarounds!

In fact, there are four ways you can easily share a single tab in Google Sheets while keeping everything else confidential.

This is the perfect solution for business owners looking to give clients, team members, or stakeholders access to just one report tab without handing over their entire workbook.

You can share one tab in a Google Sheets spreadsheet by:

  1. Copying the entire spreadsheet tab and pasting it into a new spreadsheet.

How to share only one tab in a spreadsheet? Method 1

If you’re looking for a quick and easy way to share only one tab in a Google Sheets spreadsheet to ensure document privacy, here’s how you can do it: 

  1. Find the tab you want to share (at the bottom of your spreadsheet).
  2. Click the drop-down arrow next to the tab’s name.
  3. Select ‘Copy to > New spreadsheet’.
  4. Google Sheets will create a brand-new spreadsheet containing an exact copy of that tab.
  5. Click ‘Open spreadsheet’ within the pop-up window to access your new file.
  6. Rename the new spreadsheet.
  7. Inside this new spreadsheet, click ‘Share’ in the top right corner to share the newly copied tab with others.

It’s important to note that since this tab has been copied into a separate spreadsheet, it won’t stay linked to the original file. 

This means that any changes made in one won’t automatically update in the other.

But don’t worry. There’s a way to share a single tab with live updates by syncing between both sheets! This is done using the IMPORTRANGE function.

How to share only one tab in a spreadsheet? Method 2

If you want to share data from one tab into another while keeping it synced in real time, you can use the built-in Google Sheets IMPORTRANGE function.

With this method, any changes made in the original sheet are automatically reflected in the shared version.

This allows you to share your tab with others (and allow live updates) without giving full editable access!

  1. Open your Google Sheets file and select the tab with the data you want to share.
  2. Click ‘File > New > Spreadsheet’ to create a blank Google Sheets file.
  3. This new file will serve as the shared version that pulls data from your original spreadsheet.
  4. In cell A1 of your new sheet, enter the following formula: =IMPORTRANGE("URL", 'SheetName!Range").
  5. Copy the original Google Sheet tab link.
  6. Replace "URL" with the full URL link of your original Google Sheet (make sure it’s inside the quotes).
  7. Note: If you see a #REF! error, click on the cell and select ‘Allow access’ in the pop-up to instantly connect the new sheet to the original one.
  8. Once completed, you’re ready to share your sheet! To do this:
  9. Rename your new sheet to something relevant so you can easily find it.
  10. Click ‘Share’ in the top-right corner.
  11. Enter email addresses or group names of the people you want to share it with.
  12. Choose their access level: Viewer (can view only), Commenter (can comment), or Editor (can make changes).
  13. Click ‘Send’ to finish.

Alternatively, you can simply use the link-sharing option.

This option essentially lets any user with the correct link access the sheet according to the access permissions you set. To do this:

  1. Choose ‘Restricted’ (only added users can access) or ‘Anyone with the link’.
  2. Set relevant permission levels.
  3. Click ‘Copy link to share’.

And that’s it! You’ve now successfully copied an individual tab to a new sheet that instantly shares live data!

How to share only one tab in a spreadsheet? Method 3

Need to share a clean, read-only version of your spreadsheet tab? Exporting it as a PDF is another option.

To share only one tab in a spreadsheet via a PDF document:

  1. Select the tab you want to export.
  2. Click File > Download and then click ‘PDF’
  3. Within the ‘Export’ settings, choose the correct tab under ‘Export’.
  4. Change the layout, scale, and page size to ensure your data looks clean and readable.
  5. Click ‘Export’ to generate your PDF.

And you now have a PDF document of your spreadsheet tab that can be easily emailed, uploaded, or printed.

Just remember, as this version is a PDF, it’s a read-only document and won’t update when any changes are made within the original spreadsheet tab.

If you need to make a spreadsheet tab viewable by anyone without giving them direct access to your file, publishing it to the web is a fast and flexible option.

However, this method makes your data publicly accessible, so don’t use it for sensitive information! To do this:

  1. Select ‘File > Share > Publish to web’ within Google Sheets.
  2. Use the dropdown menu to select the specific tab you want to make public.
  3. Choose the format you want the tab to be shared in: Web Page (viewable in browser), CSV (Comma-separated values), TSV (Tab-separated values), or PDF.
  4. Note: Choosing CSV or TSV allows others to download and open the data in Excel or Sheets, making it editable on their end.
  5. Click the ‘Publish’.
  6. Select ‘OK’.

You’ll then receive a shareable link or downloadable file, depending on your selected format.

This is a quick and easy way to share data with a wide audience.

I recommend using this method for public dashboards, read-only reports, or any data intended for a broad distribution.

But just remember, don’t share anything you wouldn’t want made public!

When you publish a tab to the web, anyone with the link can view it, and it may be indexed by search engines.
